It doesn't matter what system you already have

We get this question from two very different firms, and it's worth answering both at once because the answer doesn't actually change.

The first firm already has a case management system. Sometimes an expensive one, well-embedded, hard to rip out. Their question is: why would I sit Copacetic on top of something that already works? The second firm has nothing formal at all — matters tracked in someone's head, in email threads, in a shared drive folder with a naming convention only one person really understands. Their question is closer to: is this even worth it for a firm our size?

Here's the honest answer for both: it was never really about the system underneath. It's about oversight of matters — making sure a task you set is actually trackable, and that the person it's set for can see, with no effort, exactly what's theirs to do. An established CMS can hold every document you own and still not give you that. A firm with nothing at all obviously doesn't have it either. Both gaps look identical from where a task sits unactioned.

So the pitch isn't "replace what you have" and it isn't "finally get organised for the first time." It's the same thing either way: make the work visible, make ownership clear, and stop asking staff to hold the state of every matter in their own memory. That's true whether you're sitting on top of a system that's fifteen years old, or on top of nothing.
